About The Opportunity

This position is offered through the Canada Summer Jobs program and is a great opportunity for students or youth looking to gain hands-on experience in a professional, team-based environment.

The role involves organizing and maintaining files, responding to inquiries, preparing documents and correspondence, and supporting daily office operations such as mail distribution, supply management, and meeting coordination. You’ll also assist with basic administrative tasks like tracking documents, processing forms, and maintaining records. Ideal for someone detail-oriented, organized, and comfortable working in a fast-paced office environment.

As per Canada Summer Jobs program requirements, candidates must be:

  • Between 15 and 30 years of age (inclusive) at start of employment
  • A Canadian Citizen, permanent resident, or a person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
  • Legally entitled to work according to BC legislation and regulation.
  • International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.

Job Duties

  • Scan, sort, and file documents according to established procedures
  • Retrieve, copy, and track documents; maintain records of file usage and returns
  • Respond to inquiries (phone, in person, or electronic) or direct them to the appropriate person
  • Prepare correspondence, reports, forms, presentations, and other documents
  • Process incoming and outgoing mail (manual and electronic)
  • Photocopy, collate, and distribute documents for mailing and filing
  • Send and receive documents via email or fax
  • Maintain office supply inventory; order supplies and coordinate equipment servicing
  • Assist with meeting preparation (agendas, attendance, and minute-taking)
  • Support administrative processes (budget submissions, contracts, work schedules)
  • Sort, process, and verify receipts, expenditures, and other documents
  • Help coordinate workflow for office support staff, as needed
  • Use and adapt to various technologies (e.g., Word, Excel, databases, and other software)
  • Handle sensitive information with confidentiality
  • Collaborate effectively in an office and team environment (experience considered an asset)

Education

  • In pursue of or holding College diploma/University degree in related field
