We are seeking an organized and tech-savvy Events & Marketing Coordinator to support a large, global organization. This role blends administrative coordination (40%), virtual event management (30%), and digital marketing support (30%). You will work in a matrix environment, supporting multiple stakeholders across regions and time zones, with a focus on delivering high-quality webinars and digital campaigns.

This long-term contract has the potential to go up to 2-years, with an initial term of 6-months. While the first few months will likely command full-time hours, there is the possibility of taking on other contracts once the successful applicant settles into the role.

Key Responsibilities

Administration (40%)

  • Provide meeting support: scheduling, note-taking, action item tracking, and follow-ups.
  • Prepare event documentation (run sheets, speaker briefs, agendas).
  • Coordinate logistics across multiple time zones and teams.
  • Serve as a reliable point of contact for internal stakeholders.

Virtual Events / Webinars (30%)

  • Manage end-to-end logistics for webinars (50–100 participants).
  • Set up Zoom events, handle registrations, reminders, recordings, and follow-up.
  • Act as live event host/facilitator: manage presenters, moderate Q&A, support attendees.
  • Troubleshoot technical issues and ensure smooth execution during events.
  • Track attendance and prepare post-event reports.

Digital Marketing (30%)

  • Build and send event communications (invitations, reminders, follow-ups) using Adobe Campaign.
  • Collaborate with marketing to ensure consistent messaging and branding.
  • Support basic content creation (emails, landing pages, promotional materials).
  • Provide analytics and insights on campaign performance (opens, clicks, registrations).

Qualifications

  • 3–5 years of experience in event coordination, marketing, or admin support in a large/global organization.
  • Strong skills with webinars software (Zoom ideal) and familiarity with digital marketing automation tools.
  • Excellent organizational and communication skills; able to manage multiple priorities in a matrix environment.
  • Comfortable working across different time zones and occasionally outside standard business hours.
  • Confident facilitating live webinars and managing presenters/attendees.
  • Detail-oriented, proactive, and able to handle sensitive information with discretion.

VISA / RELOCATION SUPPORT

  • Preference will be given to candidates who are currently in Greater Vancouver with proper working permission to work in Canada.
  • No relocation assistance or visa sponsorship support will be offered for this role.
