Job Description

We're on a quest to find an Office Manager and Marketing Coordinator to oversee the day-to-day administrative functions for the company and support marketing activities. Core Responsibilities
  • Act as the first point of contact for internal/external inquiries, including managing company email inbox and managing voicemail
  • Create online and written marketing materials
  • Update the company website
  • Advance organization and flow in the organization by improving the sharing of information through tools like confluence
  • Help coordinate the move to a new facility
  • Support grants applications including writing grants, tracking payments in spreadsheets, and providing reporting materials
  • Support HR in various functions and initiatives, such as onboarding/offboarding activities such as software subscriptions, health & safety, and social events
  • Support financial activities such as Accounts Receivable and Accounts Payable including working with the Bookkeeper to provide receipts, paying invoices, and creating reports from QuickBooks
  • Prepare confidential correspondence, emails, reports, presentations, and other communications
  • Manage facility requirements with building management - security, cleaning, etc.
  • Able to take on special projects that arise
  • Support the organization's mission, values, culture, and strategy
  • This position is located in the office and is not a remote location position.


Requirements

  • Degree in a relevant field
  • Demonstrated experience in a marketing, office management, or administrative assistant role (3+ years or equivalent)
  • Remarkable organizational, time management, and prioritization skills
  • Technically-savvy, with proficiency in MS Office (Word, Excel, PowerPoint) and Google products (Sheets, Mail, Drive, Docs)
  • Proficiency in other office tools (e.g., Confluence, Toggl, QuickBooks, etc.) an asset
  • An initiative taker, someone who sees what needs to be done and then goes ahead and gets it done.
  • Excellent verbal and written communication capabilities
  • Previous experience working with numbers, using spreadsheets and monitoring balances
  • A desire to be helpful to others fueled by a generosity of spirit, and the ability to think several steps ahead, anticipating and preventing potential obstacles
  • Highly self-motivated with the ability to work independently, as well as a go-getter and proactive attitude
  • Passionate about advancing innovative technologies, making a positive environmental impact, and scaling a startup company
  • Willing to learn and tenacity to finish what you have started (can-do attitude)
  • Able to work well with a diverse group of people and contribute to a positive team culture
