Position Overview:

We are currently seeking an experienced Project Manager - Tenant Improvements to join our dynamic team. The successful candidate will oversee all aspects of project management from pre-construction through project close-out, ensuring that every project is completed on time, on budget, and to the highest standards of quality and safety.

Responsibilities: A. Estimating
    • Develop a detailed written scope of work according to VPAC's standard procedures.
    • Establish preliminary project schedules, including startup, construction, and close-out.
    • Develop accurate budgets based on scope and VPAC's standard procedures.
B. Construction Phase
    • Ensure that each new project begins according to VPAC's standard procedures.
    • Set up and manage the final project budget.
    • Tender, negotiate, and prepare trade contracts and purchase orders.
    • Oversee day-to-day project management to ensure compliance with master schedules, control budgets, and contract documents.
    • Monitor and process submittals (plans, specs, shop drawings, etc.) according to VPAC's standard procedures.
    • Maintain excellent communications and relationships with corporate teams, clients, civic officials, and the public.
    • Ensure timely project close-out and client occupancy.
C. Post-Construction Phase
    • Administer and process post-construction items to ensure compliance with maintenance and warranty provisions.
D. Site Safety/Set-up Coordination
    • Ensure all sites comply with VPAC's and WorkSafeBC's safety policies.
    • Maintain site presentation according to VPAC's standards.
Duties Include:
    • Analyze project drawings, specifications, and permits to determine scope and schedule requirements.
    • Review and respond to daily project correspondence; ensure timely issue resolution.
    • Receive, log, and distribute all project documentation (drawings, RFIs, change orders, etc.).
    • Maintain project filing systems in Procore.
    • Assist with construction detail problem-solving while deferring design responsibility to the Pre-Construction & Design team.
    • Ensure current for construction drawings/specifications are in use.
    • Review and analyze weekly schedules and cost reports to prepare profit projections.
    • Prepare monthly reports for Senior Management detailing profit, subcontract status, and schedule status.
    • Provide weekly client update reports and look-ahead reports by Friday 3pm.
    • Conduct regular job site inspections to ensure contract compliance.
    • Attend and minute weekly meetings with trades, consultants, and clients as required.
    • Develop the preliminary project schedule and finalize the Master Schedule.
    • Identify and manage change orders and delays, ensuring compliance with contract requirements.
    • Authorize and process prime contract and subcontract change orders.
    • Prepare monthly progress claims and review subcontractor progress claims.
    • Review and approve monthly invoices for payment.
    • Attend client/consultant site meetings.
    • Finalize project budget and contract amount.
    • Submit Notice of Project (NOP) to WorkSafeBC.
    • Coordinate and obtain Certificates of Occupancy and Substantial Completion; convey required submissions to the architect.
    • Review completed projects with Senior Management to improve outcomes.
    • Expedite trades and suppliers.
    • Notify Senior Management of major disputes with subcontractors and suppliers.
    • Perform site work as required.
    • Stay informed via communications from Office Administrator and Office Operations Coordinator.
Qualifications:
    • Minimum of 5 - 8 years' experience in project management, specifically in tenant improvements.
    • Proven ability to manage multiple projects simultaneously.
    • Strong leadership and communication skills.
    • Extensive knowledge of construction processes, contracts, and scheduling.
    • Proficiency in Procore, Microsoft Project (or similar scheduling software), and Microsoft Office Suite.
    • Familiarity with WorkSafeBC regulations.
